What we build / Front office systems

Give every inquiry a responsible next step.

Winning new business only helps if someone answers it. A digital front office brings calls, forms, scheduling and follow-up into one accountable process. We start with the channels and handoffs that matter to your team.

Built around your business

The problem

Where the work gets stuck.

Calls arrive while staff are occupied. Web forms reach a shared inbox. A booking request is treated like a confirmed appointment. Without clear rules, the customer and the team can each believe someone else owns the next step.

How we work

Diagnose. Build. Put it to work.

  1. Diagnose

Map inquiries by channel, urgency, and the decision each requires.

  2. Build

Define what can be answered or collected and when a person takes over.

  3. Put it to work

Set up agreed coverage and routing, test real-world exceptions, and hand it to operators.

Possible scope

What an agreed project could include.

  1. 01

An intake and routing map with ownership rules

  2. 02

Scoped answering, form, booking-request, or follow-up components

  3. 03

    Human handoff and exception procedures

These are scope examples. Your proposal identifies the exact deliverables, costs, requirements, and timeline before work starts.

Before we build

What we need to confirm.

People, access, and information

We need approved business answers, staff availability, service rules, scheduling permissions, and access to relevant channels. Telephony, messaging, or calendar connections are confirmed individually in the proposal.

What needs its own scope

A request is not a confirmed booking until the connected system confirms it. An AI receptionist follows approved information and escalation rules; it should not invent prices, give regulated advice, or promise availability. Coverage and ongoing operations follow the agreed plan.

Illustrative scenario, not a client case study

One way this could work.

  1. Situation

A local service team cannot answer every call during jobs and receives web inquiries after hours.

  2. Possible workflow

An agreed setup could collect the reason for contact, route urgent issues to the defined person, and place routine requests in a review queue for the next working period.

  3. Designed outcome

Staff can see what arrived and who should act, while customers receive only the commitments the business has authorized.

Deciding what fits

Is this the right starting point?

Start here when inquiries are being missed or handled inconsistently across channels. The first scope may be one channel, not a complete replacement of reception.

Still deciding?Talk it through with a founder.
Is the receptionist a person?

An AI receptionist, when included, is clearly identified and configured from approved business information. We define when it should hand off to your team.

Can it book directly into our calendar?

Only after we verify the calendar connection, booking rules, and confirmation behavior. Otherwise the path can collect a request for staff review.

On a founder strategy call, we’ll map one workflow and recommend a practical first step, even if this service is not the right fit.
